How this works
- Design your template once in the Document Maker β style, color, font, logo.
- Save it under My templates.
- Next time, pick your template, then pick your employee β their name and rate fill in, and the week and every day's hours start clear.
- Fill in the week's times, both of you sign, and print β the timesheet files itself under your employee's name.
π¨ Style, font, colors and logo are set once in the Document Maker β your design applies here automatically.

Hours are figured to the hundredth from the times entered, minus unpaid breaks. Overtime is estimated at 1.5Γ after 40 hours in the week β verify against your payroll rules. Generated with the free KipiForms timesheet generator.
About timesheets β hours nobody has to argue about
A timesheet is the week's hours in writing: when each day started, when it ended, what breaks came out, and what it all adds up to. It is the document payroll is figured from and the record both sides point to when memories differ β which, about hours, they always do.
What a good timesheet shows
- Start and end times, per day β not just a daily total. Times can be checked; totals can't.
- Unpaid breaks, in minutes β a 30-minute lunch should come out the same way every day, in the open.
- The rate and the week β whose hours, at what pay, for which week.
- Regular and overtime split β hours past 40 in a week are usually paid at 1.5Γ; the sheet should show the math.
- Two signatures β the employee confirming the hours, a supervisor approving them.
A quick example
A crew member works 7:00 to 3:30 Monday to Friday with a half-hour lunch β 8 paid hours a day, 40 for the week β then a 4-hour Saturday callout. The sheet totals 44 hours: 40 regular at $26 and 4 overtime at $39, gross $1,196. Everyone can follow every number back to a day and a time.
Common mistakes to avoid
- Rounding in someone's favor by habit. Figure to the hundredth and round the same way every week.
- Forgetting breaks on some days. If lunch is unpaid, it comes out every day or the sheet explains why not.
- No signature. An unsigned timesheet is a draft, not a record.
Overtime rules vary β federal law, state law, and company policy can all set the threshold and the rate. This sheet estimates the common 40-hour / 1.5Γ rule; it is a record-keeping tool, not payroll or legal advice.
Timesheet questions
How is overtime figured on this timesheet?
Hours are totaled for the whole week first. The first 40 are regular hours; anything past 40 is overtime, paid at 1.5 times the hourly rate you enter. That is the common rule β some states and policies figure overtime daily instead, so check the rules that apply to your workplace.
Do overnight shifts work?
Yes. If the end time is earlier than the start time, the sheet treats the shift as running past midnight into the next morning, then subtracts the break.
Why enter start and end times instead of just hours?
Because times can be verified and totals can't. A sheet that shows 7:00β3:30 with a 30-minute break explains itself; a bare '8' invites questions at payroll time.
Is the timesheet generator really free?
Yes β free to make, free to save, free to download, free to print. No sign-up, no fee, and no watermark. Your entries stay in your own browser; nothing is uploaded.
