About work orders β the job, in writing, before it starts
A work order is the instruction sheet and the paper trail for one job: who asked for it, what exactly needs doing, where, when, and what it will cost. Repair shops, plumbers, electricians, HVAC techs, property managers and cleaning crews run on work orders because memory fails and "I thought you meantβ¦" is expensive.
What a good work order includes
- Work order number and dates β requested, scheduled, and (later) completed, so the job can be found again in seconds.
- Customer and site β who is paying, and where the work actually happens; they are often different addresses.
- The work, described β what is wrong and what was asked for, in plain words.
- Labor and parts lines β hours at the rate, parts at their price, so the invoice later writes itself.
- Status and priority β so a crew can see at a glance what is urgent and what is done.
- Two signatures β one authorizing the work before it starts, one accepting it when it is finished.
A quick example
A call comes in Tuesday: a leaking water heater. The work order goes out with the customer's name and phone, the scheduled date, the work description, and the expected lines β labor, the new unit, fittings. The customer signs to authorize. When the job is done and accepted, one click turns the work order into the invoice, deposit already credited.
Common mistakes to avoid
- Starting work with no written authorization β a signature up front ends most payment arguments.
- A one-word description ("fix leak"). Note the fixture, the location, and what "done" looks like.
- Losing the thread between the work order and the invoice. Keep the same lines on both β this generator converts in one click.
Work order questions
What is a work order?
A work order is a written record of one job: the customer, the work requested, the schedule, the labor and parts, and the price. It authorizes the work before it starts and documents it when it is done β the bridge between a phone call and an invoice.
Can I turn a work order into an invoice?
Yes. Click 'Turn into invoice' and the customer, the labor and parts lines, the tax rate and the deposit carry over to the free KipiForms invoice generator, ready to send as a bill. The deposit you collected shows as already paid.
What is the difference between a work order and an invoice?
Timing and purpose. A work order comes first β it authorizes and schedules the work. An invoice comes after β it bills for the work done. Many shops use both, with matching line items.
Is the work order generator really free?
Yes β free to make, free to save, free to download, free to print. No sign-up, no fee, and no watermark. Your entries stay in your own browser; nothing is uploaded.
